Travel, accommodation and logistics

Getting delegates to the room, on time and without a bottleneck, fails for practical reasons: flights land in a cluster, the hotel block runs short, the registration desk can't keep pace. We plan travel, accommodation and the registration flow as one piece of work.

Making a corporate event actually work

Can you handle a hybrid event with remote and in-person delegates together?

Yes. We run hybrid conferences and townhalls with a broadcast-grade video feed, remote Q&A and a single run of show that keeps the in-room and remote audience in sync.

Do you manage delegate travel and hotel blocks for outstation events?

Yes. Flights, hotel room blocks, ground transport and a registration desk are planned alongside the event, so travel and the programme are coordinated by one team.

What is a realistic budget for a corporate event with 200 to 500 delegates?

It depends on the format, the venue, the production scale and whether travel is included. After the brief and venue recce you receive a line-item proposal, so you can see what each element costs and adjust it.

Can you take on only AV and production, without managing the full event?

Yes. Stage, sound, lighting, LED and live streaming can be commissioned as a standalone production scope alongside your own event team.

Do you work as an empanelled or approved vendor for large enterprises?

Yes. We complete vendor empanelment, compliance and procurement documentation for corporate and enterprise clients as part of onboarding.

How early should we start planning a conference or product launch?

Ideally 8 to 12 weeks out for a mid-sized event, and 4 to 6 months for a multi-city launch or a large conference, so venue sourcing, content and production have enough runway.

Can you manage multi-city dealer meets or roadshows?

Yes. We run multi-city formats with one master plan and a local coordinator in each city, so the format, branding and message stay consistent city to city.

Do you provide event photography, videography and a post-event report?

Yes. Photography, films and a post-event report with attendance, feedback and highlights are available, so the event's impact is documented for internal stakeholders.
